Fundraiser Planning Meeting MinutesFall

Opening Prayer
Review last week’s minutes.
Food and Beverage - Need to get specifics on chicken from KofC (i.e. breast, leg, thighs, quarters,fried?) It was decided that one Meat and 2 sides would be offered - just to make sure everything fit on the plate. Chris C will coordinate volunteers (see volunteer section below). The middle door will be closed, so that attendees can enter through one door and exit through the other for faster serving.
Tickets - Olivia will see if Shannon or Kris can assist with getting tickets setup on the Parish website similar to the Picnic meal plates. Only $50 per person meal tickets will be sold on the website. Additional book and sheet sales will be sold at the door.
Supplies - It was decided that we would wait until the parish Bingo night on 8/10 to determine what supplies need to be purchased.
Mini Raffle - Janice will submit Bulletin announcement now and Verbal announcements made on weekend of Hospitality Sunday. Olivia will create flyers to be distributed during Hospitality Sunday.
Bingo - The Sept Bingo game will not be cancelled per Father Adrian. There is a planning meeting on Thursday 8/9 for the 8/10 game. Committee members are encouraged to attend and assist to get a feel for what to expect on day of event.
Donated Items - Kate will reach out to Bed, Bath, and Beyond to see what they can donate. She will also reach out to Jon to see if Choir will be “Will not Sing this Song for 1 year” to the silent auction. Olivia will reach out to Lowe’s, Home Depot, and Starbucks. Hank will send out email to ministries to create gift baskets.
Day of Setup Timeline - It was decided that Dinner would be served between 6pm and 7pm, in order to avoid distractions during the games. Desserts and Beverages will be available throughout the night. Dinner, Desserts, and beverages will be available in Classrooms A, B, and C.
We will need Volunteers for - Chris will coordinate Food Servers (6) and Beverages (2). Beverage servers will need to switch out shifts throughout that night, maybe one hour shifts. Janice will coordinate Bid Spotters (4).
Need setup crew. St David’s classroom will be used for storage. All Silent Auction and Bucket Raffle items will be displayed along the perimeter.
